Pay: $52,000 per year (DOE)

Job Description:

Position Overview

The Special Projects & Grants Management Coordinator is a cross-functional, floating role that supports NMBLC’s programs, events, and resource development efforts. This position works across departments to ensure projects are implemented effectively, timelines are met, and organizational systems are maintained. This role is ideal for someone who is adaptable, detail-oriented, and comfortable managing multiple moving parts in a fast-paced nonprofit environment.

Core Responsibilities

  • Support planning and execution of key NMBLC initiatives
  • Participate in planning meetings and track action items
  • Coordinate logistics, timelines, and deliverables across teams
  • Assist with implementation of both short-term and ongoing projects
  • Maintain and update grant tracking systems and databases
  • Support grant lifecycle activities, including:
    • Tracking submissions, awards, and reporting deadlines
    • Organizing grant documentation and folders
    • Following up on funding status and required materials
  • Assist with weekly development workgroup meetings
  • Ensure accurate recordkeeping (e.g., invoices, funding received, reporting status
  • Assist with coordination of events across departments
  • Support logistics for:
    • Program operations
    • Community events and convenings
  • Work alongside Special Projects Manager and project managers to ensure smooth execution
  • Help manage volunteers and event participants
  • Support day-to-day operations of programs (e.g., Roots Summer Leadership Academy), including:
    • Attendance tracking and follow-ups
    • Supporting instructors and staff
    • Coordinating logistics such as transportation and scheduling
  • Assist with intern/student onboarding and training (e.g., expectations, time tracking, professionalism
  • Provide support with scheduling and communications with NMBLC volunteer board members 
  • Participate in scheduling and attendance at NMBLC annual Board meeting

Qualifications

  • Experience in project coordination, program management, or nonprofit operations
  • Strong organizational and time management skills
  • Ability to manage multiple projects simultaneously
  • Strong communication and follow-up skills
  • Experience with spreadsheets, databases, or tracking systems preferred
  • Interest in community-based work and NMBLC’s mission

Preferred Skills

  • Grant tracking or fundraising support experience
  • Event coordination experience
  • Familiarity with tools like Google Workspace, CRM systems, or project management tools
  • Experience working with youth programs or community initiatives
